Overview

As Program Coordinator, you report to the Program Director. Your primary role will be to provide administrative and operational support for the program team as they implement the program with over 40 school partners. SpeakUp! is seeking a highly professional, collaborative team member who takes initiative and is self-motivated. This position requires attention to detail with outstanding time management, excellent written and verbal communication skills and familiarity with technology platforms. This position is full-time, salary exempt with paid Personal Time Off (PTO) benefits.

Specific Responsibilities

Coordinate the planning, and scheduling of a robust calendar of meeting dates, event dates, training and special events for SpeakUp!.

Utilize CiviCRM (A Customer Relationship Management Software) to manage data and processes to successfully implement the SpeakUp! program:

  • Program on-boarding, sending and tracking Partnership Agreements, ensuring that all event pages and registration links are live and accurate on the website.
  • Manage meeting and event workflow.
  • Support the Program Specialist in event, registration and room assignment processes.
  • Manage event day logistics and materials.
  • Support program team in collection and reporting of Program Impact Data.
  • Data entry and data updating.
  • Pulling reports for all marketing and outreach.

Program Coordination and support for all other program-related meetings including but not limited to Parent Coffees, Student Advisory Group Meetings, Moderator, and Facilitation Training, Youth Mental Health First Aid, Volunteer and Young Alumni Meetings, Board Meetings and Retreat, staff training. Tasks include:

  • Schedule and confirm meeting dates and times.
  • Create invitation list, send emails, reminders and track responses.
  • Update website to reflect meetings, programs, and events when applicable.
  • Prepare space, order food and beverages.
  • Handle all other logistics related to programming.

Strategically order program and office supplies and materials:

  • Ensure all marketing materials are updated and prepared for program delivery Ex. Banners, flyers, posters.
  • Design, order and manage inventory of t-shirts and other program promotional materials.
  • Manage the status and ordering of all office supplies.

Assist with social media management including Facebook, Instagram, and Twitter.

Manage all program photos and videos.

Reception duties such as handling incoming phone calls and interaction with participants/guests.

Attend relevant staff meetings to promote communication and execution of goals.

Continue to develop as a strength-based youth development professional for your role.

Other duties as assigned by the Program Director.

Qualifications:

  • Bachelor’s Degree / equivalent combination of education and experience
  • Personal qualities of integrity, credibility, professionalism and a commitment to SpeakUp!’s mission.
  • Excellent verbal and written communication skills.
  • Strong computer skills with fluency in Microsoft Office 365, Office (word, excel, PowerPoint), and Prezi.
  • CRM Data Base experience (data entry, data management, and creation of reports).
  • Experience creating and implementing structures and systems within an organization.
  • Ability to manage multiple tasks by carefully setting priorities, meeting deadlines, and scheduling time efficiently with a strong attention to detail.
  • Ability to adapt to changing work assignments and to function effectively in a high pressure, short deadline environment.
  • Ability to collaborate, work with and have respect for diversity of all kinds both internally and with external partners.
  • Understanding of positive youth development principles, and best practices and show eagerness to learn about latest trends in the field of youth development and how it relates to SpeakUp!’s mission.
  • Willingness and ability to work evening programs and events, as needed; this role requires non-traditional hours during peak periods.

Required Clearances (current and completed prior to employment):

  • Pennsylvania State Criminal Record Check.
  • Pennsylvania Child Abuse History Clearance.
  • Federal Criminal History Record.

Physical Requirements:

Ability to physically perform the duties and to work in the environmental conditions required:

  • Traveling to schools – valid driver’s license/ and or access to transportation when necessary.
  • Functioning in office space – reaching files cabinets, filing, faxing, scanning, copying, typing, mailing, making phone calls.
  • Must be able to sit for up to two hours looking at a computer monitor, using a keyboard/mouse and typing.
  • Able to lift 40 pounds.
