Reports to: Development Managers of the Saint Louis Chess Club and World Chess Hall of
Fame.

POSITION OVERVIEW

The Development Administrative Coordinator is a part-time position that requires flexible hours. This position is responsible for the implementation of the day-to-day development plan for the Saint Louis Chess Club and World Chess Hall of Fame as well as assisting in event planning for development related events.

PRIMARY RESPONSIBILITIES

Support Development Managers as followed:

  • Responsible for day to day implementation of annual development plan by ensuring adequate tracking and benchmarking
  • Prepare correspondence for donors.
  • Coordinate mailing lists among organizational departments.
  • Arrange and organize meetings with donors and prospective donors.
  • Assist in preparing and sending annual appeals.
  • Research new sources of funding, which includes, individual giving, corporate and foundation gifts and major donors.
  • Maintain grant tracking system, ensuring that all deadlines and requirements are met.
  • Coordinate grant applications with grant writer and development managers.
  • Coordinate donor reports at the conclusion of programming cycles.
  • Maintain a confidential database system, specifically CiviCRM.
  • Assist in running reports for appeal letters and donor activity.
  • Coordinate and execute donor cultivation events.
  • Responsible for execution of events: annual gala, golf tournament and other fundraisers.
  • Track and benchmark progress throughout the year to ensure annual goal is achieved.
  • Create final grant reports for donors.
  • Maintain policy and procedures of donor recognition and stewardship.
  • Reconcile donor data on a quarterly basis.

QUALIFICATIONS

  • Knowledge of development/fundraising.
  • Bachelor’s degree or the equivalent (required).
  • At least 3+ years of experience in a development administrative role.
  • Fundraising event planning experience preferred.
  • Excellent written and oral communication skills with experience developing successful donor communications and marketing materials.
  • Excellent organization required.
  • Experience with CiviCRM preferred.
  • Wrike Project Management software experience and Givesmart a plus.
