350.org’s Global Communications team is looking for an administrative assistant. The ideal candidate will be someone who loves helping people and teams stay organized, who is flexible and gets excited to help a team figure out complex logistical arrangements while working remotely with colleagues.

This role is expected to collaborate with other teams’ administrative staff and will occasionally take on organizational-wide projects in addition to the position’s department-specific work.

Required Qualifications

  • The Administrative Assistant will be responsible for supporting the Communications team and specifically with day-to-day administrative tasks, including setting up a central media tracking system, help manage media contacts on our CRM system, calendar management, travel booking and expense tracking, invoices and reimbursements.
  • Other key responsibilities include administrative support during hiring processes and logistical support for teams in their organising of internal, in-person meetings involving venue identification and hire, travel and accommodation arrangements.
  • Act as the point person for any administrative tasks and issues and composes monthly reports on the global team’s work for funding purposes.
  • Will assist with any ad hoc project and emerging team-wide or organizational-wide administrative needs that may develop.
  • Perform other tasks assigned by the Global Communications Director.

Desired (but not required) skills and experiences

  • Past experience with administrative work with a focus on media-related tasks, ideally in an international context
  • Experience or fluency with CiviCRM (or similar)
  • Experience setting up a media tracking database and performing media analysis
  • Experience organising events or press conferences
  • Flexible
  • Strong interpersonal skills
  • Experience working with cross-cultural and remote teams
  • Strong English skills
  • Confident in using internet-based software for calendaring/scheduling
  • Has the basic financial numeracy to do budget tracking and accurate invoicing and other financial administration tasks
  • Proficient in Google Suites and Zoom Video Conferencing preferred.
  • Adept at booking travel and accommodation
  • Have an interest in social & environmental justice issues, and/or experience working in international contexts across a variety of cultures will be distinct advantages.

We are looking for someone who is comfortable working both independently and in teams, highly responsive, and able to lead initiatives as well as take direction from others.
