Primary Purpose:

The Operations Coordinator will be responsible for coordinating and managing the day-to-day administrative activities of the Chief Operating Officer, Operations Team and the Fundraising and Development team. The incumbent in this position is detail-oriented, organized, has sound judgement, flexible and thrives in a fast-paced environment. This position will work in 350.org office in Brooklyn.

Essential Duties:

50% Fundraising and Development:

  • Document and track incoming donations in our database and CRM systems.
  • Process incoming checks and upload donor data weekly.
  • Prepare and send thank you notes and donation receipts to donors in a timely fashion.
  • Check 350.org and 350 Action voicemails along with the general 350.org inbox.

50% Operations Department:

  • Manage and update COO and Operations Team calendar.
  • Plan, coordinate and manage Operations Team meetings and retreats.
  • Prepare meeting minutes.
  • Receive and route all incoming packages and mail.
  • Order office supplies and equipment for Brooklyn office.
  • Coordinate purchase of laptop for new hires.
  • Coordinate regular Brooklyn office cleaning schedule with cleaning services.
  • Liaise with landlord on Brooklyn building and office issues.
  • Provide administrative support on staff and organizational security needs in coordination with Director of Risk and Compliance and outside consultants.
  • Coordinate and manage basic organizational IT support needs in coordination with outside consultants.
  • Assist operations team(s) with basic data entry, analysis and spreadsheets development.
  • Manage and replenish petty cash.
  • Perform other tasks assigned by the COO.

Minimum Requirements:

  • Associate Degree or equivalent experience
  • Minimum of two years related work experience
  • Computer savvy
  • Proficient in Mac OS and Google Platforms
  • Proficient with MS Word and Excel
  • CRM database system(s) experience, preferably CiviCRM
